Planned maintenance

Keeping our accommodation safe and well maintained

We carry out regular planned maintenance across University accommodation to keep our buildings, facilities and safety systems working properly.

This includes routine inspections, servicing, testing and preventative maintenance. Some of these activities happen regularly throughout the year, while others are scheduled annually or at longer intervals.

We plan maintenance around the University's academic calendar wherever possible, particularly during examination and other sensitive periods.

What does planned maintenance mean?

Planned maintenance is work that is scheduled in advance rather than being carried out in response to a fault or emergency.

Examples include:

  • Fire alarm and fire safety system inspections
  • Fire door and emergency exit checks
  • Emergency lighting testing
  • Fire extinguisher and fire blanket inspections
  • Water system checks and sanitisation
  • Ventilation and fan cleaning
  • Cooker hood and filter maintenance
  • Plant and boiler inspections
  • Gas safety checks
  • Lighting inspections
  • General building and common-area inspections

Some maintenance activities are carried out in communal or plant areas and will not require access to individual bedrooms.

Where work does require access to a student's room or other occupied space, residents will be given appropriate information in advance wherever possible.

Because many maintenance activities are routine safety checks that take place regularly, we have grouped these into the type of work being undertaken rather than listing every individual task.

Period Planned Activity What students can expect
Weekly Fire alarm inspections and testing Short periods of testing may take place. You may hear alarms during scheduled testing.
Monthly Fire safety equipment, emergency lighting, common areas and other routine checks Maintenance staff or contractors may be working in communal areas.
Every 3 months Water-system sanitisation, cooker hood/filter maintenance and other PPM Some communal facilities or equipment may require temporary access or disruption.
Every 6 months Fan cleaning, gas detection, final exit door and other system inspections Contractors or maintenance staff may need access to relevant areas.
Annually Fire doors, fire extinguishers, fire blankets, emergency lighting, gas systems, boilers and other safety systems Planned inspections and servicing will take place throughout the accommodation estate.
As scheduled Other preventative maintenance and specialist inspections Residents will be notified where the work is likely to affect them directly.

Academic Calendar Protections

Planned maintenance is scheduled with the University's academic calendar in mind.

We aim to avoid significant or disruptive works during key academic periods, including examination periods, wherever reasonably practicable.

Where planned works cannot be avoided, appropriate mitigation will be considered to minimise disruption to residents.

The maintenance programme is reviewed and updated as work schedules change.

Your Residence

The maintenance programme covers a large number of University residences, so the detailed schedule is managed through our internal maintenance planning system.

For works that are expected to directly affect residents, we will provide further information as appropriate, including:

  • What work is taking place
  • Where it will take place
  • The expected date or period
  • Whether access to your room is required
  • Any expected disruption
  • Any actions residents need to take

Please note that planned dates may change because of contractor availability, access requirements, weather, unforeseen building issues or other operational reasons.

Will I be notified?

If planned maintenance is expected to directly affect you, we will provide relevant information in advance wherever reasonably practicable.

Routine inspections and testing in communal or plant areas may not require individual notification.

Emergency repairs and reactive maintenance are not included in this planned maintenance calendar and may need to take place at short notice.
